Paul I have another question for you regarding the mail boxes! (I may as well ask as it seems no one else has any problems!)
I have set up two mail boxes for to people in the club, I have set up default passwords for them, what I want to know is how can they then change their passwords to whatever they want?

Don't think they can change their own password - you have to do that for them. You CAN set their passwords to whatever they want, so at least they should be able to remember it.
It's normal enough that only an admin can change email passwords. I expect the idea is that people can and do forget their passwords, and if they set their own password then forgot it there would be no way back into that email account. As it's an admin thing you can always reset it and give them a new one.
It does mean that people have to accept an admin needs access to a number of things like that. Again that's normal in any email or IT system - even in banks etc. Admins MUST act responsibly and not abuse the powers they have even as a joke, because users will quickly lose confidence if they feel they can't trust them.
With power comes responsibility! (I'm sure that's a quote from someone famous but can't remember who at the minute).

You may be moving ahead with email accounts a bit quicker than some people. I think it's a good thing to get these sorted early for key people as club email addresses are quite a strong statement of professionalism. The're quick and easy to set up and use too, especially once you've done the first one.
It's also very helpful to others to ask your questions through the forums because then everyone can a) learn from that, and b) realise that they aren't the only one who can't see how to do everything right away.
A lot of people are a bit shy about asking in public but there's no need. I bet for every person who asks any question there are other many more users who are grateful they did.
